Privacy Policy — Gaonkar Labs LLC

Gaonkar Labs LLC (“Gaonkar Labs,” “we,” “us”) builds and operates AI phone assistant services for small businesses (“clients”). This policy describes what information we collect when you interact with our services — including when you call a phone number answered by one of our AI assistants — and how we use it.
1. INFORMATION WE COLLECT
When you call a phone line operated by our service, we collect: your name as you provide it; your phone number (provided by you or by caller ID); appointment details you request (service, date, time); and a transcript and/or recording of the call. If you report an urgent issue, we log the callback details you provide so the business can reach you promptly. We do not ask for and do not want medical history, payment card numbers, Social Security numbers, or other sensitive personal information over the phone; our assistants are designed to decline such information and route those conversations to a human.
2. HOW WE USE IT
We use this information solely to operate the service on behalf of the business you called: scheduling and managing appointments, sending appointment confirmations you request, relaying urgent callback requests, and reviewing transcripts to maintain and improve service quality for that business. We do not sell personal information. We do not share personal information with third parties for their marketing. We do not use your information to advertise to you.
3. TEXT MESSAGES (SMS)
If you verbally agree to receive a text confirmation during a call, we send appointment confirmation and reminder messages to the number you provide, on behalf of the business you called. Message frequency is low (typically one to two messages per appointment). Message and data rates may apply. Reply STOP at any time to opt out; reply HELP for help. Consent to receive texts is not a condition of booking or of any purchase. Phone numbers collected for SMS consent are used only for these messages and are never sold or shared with third parties for marketing purposes. See our SMS Terms for details.
4. SERVICE PROVIDERS
We use a small number of infrastructure providers to operate the service: telephony and SMS delivery (Twilio), voice AI processing (Vapi and its model providers), hosting and data storage (Cloudflare), calendar services (Google), and payment processing for our business clients (Stripe). These providers process information only to provide their services to us and are bound by their own security and privacy obligations.
5. DATA RETENTION
Call transcripts, booking records, and urgent-callback logs are retained while we provide service to the relevant business and for up to 60 days after that service ends, after which they are deleted. A business client may request export or earlier deletion of its records at any time.
6. YOUR CHOICES
You may opt out of text messages at any time by replying STOP. You may ask the business you called, or us directly, to correct or delete the information collected from your calls; we will honor verified requests within a reasonable time unless retention is required by law.
7. CHILDREN
Our services are directed at businesses and their adult customers. We do not knowingly collect information from children under 13.
8. SECURITY
We use industry-standard measures to protect information in transit and at rest, including encryption and access controls. Credentials and secrets are stored in managed secret stores, never in plain text.
9. CHANGES
We may update this policy from time to time. The effective date above reflects the latest revision. Material changes will be posted on this page.
